Poster Guidelines
Guidelines for Poster Presentations at the 2007 ESA/SER Joint Meeting
- Poster set up and take down: Authors should set up their poster between 7-8 am the morning of their presentation. Posters must be taken down immediately after the poster session, between 6:30-7 pm Monday through Thursday and between 11:30 am -12 pm Friday. Posters not removed in the evening after the poster session will be discarded. Authors should attach their posters with push pins; ESA will provide some push pins but authors should bring their own, if possible.
- Poster Pubs: Posters are displayed for a full day, and interested persons can view the poster even when the author is not in attendance. Informal evening Poster Pubs provide an opportunity for discussion in a relaxed setting. Authors are required to be present for this scheduled 1½ hour period the day the poster is being displayed.
- Poster dimensions: Poster boards are approximately 2.4 m wide x 1.2 m tall (8 x 4 feet). However, these dimensions are not precise. Presenters should design posters to be at least 5 cm (2 inch) smaller on each margin. Pushpins and/or velcro will be supplied, and are the only method of attaching the poster to the board.
- Abstract Cancellations: Before submitting an abstract, authors should be confident that they will attend the meeting and make the presentation. If circumstances prevent attendance, the author should attempt to find another person to make the presentation. If cancellation is unavoidable, the author should notify Marie Fredlake (Acting Program Assistant) (marie@esa.org) as soon as possible. Cancellation will result in a $40 fee.
- No Show Penalty: Failure to give a scheduled presentation is disruptive to the program. Therefore, ESA /SER has adopted a cancellation policy. If an author fails to present his/her poster and does not arrange for a co-author or other alternate person to present the abstract, the author will be charged a $40.00 fee.
- The ?one-talk? rule: To ensure maximum participation, each person is allowed to give only one contributed oral, poster, symposium, or organized oral session presentation. However, a person may be a co-author on several abstracts. Authors or presenters may also serve as session presiders or organizers of symposia, organized oral sessions, workshops, or evening or special sessions.
