ESA strongly recommends booking your room through the official housing bureau.

In addition to securing ESA’s low rates, here’s how using it is a benefit and safeguard to you:

  • No pre-payment! You book today but don’t pay a penny until you pay the hotel directly upon your departure (credit cards may be authorized for room, tax and incidentals at check-in).

  • There are no service fees to make your reservations.
  • You’ll still earn rewards — book with us and you still earn points in your hotel loyalty programs.

Here’s how ESA benefits when attendees use the housing bureau:

  • We are able to monitor attendance through our housing block. This enables us to plan, be better prepared and submit accurate event counts, all of which helps with cost-containment.
  • ESA’s business value to a city is measured by a ratio between the total number of sleeping rooms booked inside our housing block and the amount of convention center space required. By booking inside the block you can help maintain our strong business value, which is crucial to our negotiations with cities and cost-containment efforts.

Message Regarding Housing Scams!

Room reservations for ESA Annual Meeting are handled exclusively by Experient. Phone, fax or email communications from any other company or organization, offering cut-rate housing for the ESA Annual Meeting or stating that they are a viable alternative to going through ESA’s official housing bureau, are not affiliated with ESA or the conference in any manner. While it is not illegal for a travel firm or booking agent to solicit potential customers, it can be difficult to determine the legitimacy of offers from these organizations. Those who opt for alternatives to ESA negotiated rates may find themselves at risk.

FAQ

Will the ESA Housing Bureau charge my credit card to guarantee my reservation?

The credit card provided will not be charged by Experient. It will be transferred to the hotel with reservation information on July 3, 2018 in order to guarantee your hotel reservation with your chosen hotel.

How quickly will I receive a confirmation?

You will receive an email from Experient with a confirmation of your reservation. The housing confirmation ID is NOT the same as the hotel confirmation number, but it assures that your reservation has been received by the official ESA 2018 Housing Bureau at Experient and it will be transferred to your selected hotel after July 3, 2018. Please do NOT contact your assigned hotel for changes until after July 3, 2018, as the 2018 ESA Housing Bureau manages all conference hotel reservations and does not release final bookings to the hotels until that time. Depending on how quickly the hotel is able to import your booking, it may take a few days after this transfer for it to be available within their system.

What is the hotel cancellation policy?

Hotel cancellations must be made no later than 72 hours prior to your arrival date. Cancellation within 3 days, or failure to check in on your scheduled day of arrival will result in a one night’s room and tax penalty charged to the credit card used for guarantee. In addition, be sure to verify check out dates at check in as an early check out may result in an early departure fee.
