After completing the transaction for membership, please
log out and log back into the portal
to receive member pricing for the meeting.
Member Registration Deals

Full Conference Registration includes access to all oral and poster sessions, special sessions, workshops, plenaries, exhibits, business meetings, and non-ticketed social events. Short Courses and field trips require advance signup and an additional fee.
Registration Types
What’s included with my registration?
Full Week Registration
You will have access to all sessions and social events except for a few that require an additional fee (field trips, short courses, and ticketed social events such as the Science on Tap, and Student Mixer). The Welcome Reception on Sunday and the Closing Networking Reception on Thursday are included for all registered attendees with no ticket required. Full meeting registration includes a complimentary coffee break each morning and light food and refreshments during every poster session.
One Day Registration
You will have access to all sessions and social events except for a few that require an additional fee (field trips, short courses, and ticketed social events such as the Science on Tap, and Student Mixer) that are taking place only on the one day you have selected. If you want to attend sessions on multiple days, you need to register for a full conference registration.
Exhibit and Plenary Only Registration
You will have access to only the Exhibit Hall (Monday – Thursday) and the Plenary Session (Opening, Scientific and New Phytologist Foundation Keynote). This registration will not give you access to the conference Welcome or Closing Reception. If you want to attend sessions, you need to register for a full conference or one day registration.
Guest
Access to non-scientific portions of the meeting program (social events, field trips) only for the family or friends of the Full-Week or One-Day registrants. Additional fees to register for individual trips or social events also apply for guests. Anyone who plans to attend scientific sessions (oral/special sessions, posters, workshops) should not register as a guest. If you are coming with a childcare provider (spouse, partner, family member, nanny, etc.), please contact the ESA REGISTRAR for assistance.

Refund and Cancellation Policy
Written notification of cancellation must be emailed to ESA REGISTRAR. Attendee registration must be cancelled by July 31st and a USD 50.00 fee will be assessed for processing refunds. Refunds are made to the original form of payment. No refunds will be given for request received starting August 1st. For questions regarding registration: email ESA REGISTRAR or call (202) 833-8773.
Refreshments
- All conference registrations include access to the opening reception, daily morning and afternoon coffee breaks, daily poster session refreshments, and the closing reception. Meals are not provided for the conference as a part of your registration fee.
- Some ticketed events (i.e. field trips) include food as part of their additional registration fee.

Registration FAQ’s
When I am logged in and completing my registration form, I see the wrong registration rate (i.e., non-member when I am a member who recently joined or renewed). What should I do?
This most likely means your ESA profile is not reflecting your current membership status with ESA. If you joined or renewed the same day you are registering, please try logging out and logging back in. If this does not resolve the issue, please email us at registrar@esa.org and we can investigate this for you.
Can I register someone else for the meeting?
You can register someone else, but it requires logging in to their account and using their credentials. If they do not have a profile with ESA, you can make one for them and register from that account.
I would like to return to my meeting registration form to update some of the information. How can I do that?
Log into your ESA account. Click “Account Access”, then hover over “Annual Meeting”, and click “My event receipts”. Under “Event” click “ESA 2025 Meeting”, then click “Edit registrant information”. Remember to save your responses when you are finished by clicking “Update Responses.”
I need a receipt for my registration. Where can I find that?
Log into your ESA account. Click “Account Access”, hover over “Annual Meeting”, and click “My event receipts”. You should see an Order Number. Click on that and then you can download your receipt as a PDF by clicking on the PDF symbol.
I registered before I had been notified about a registration grant and just learned I was approved for funding. What should I do?
Please email registrar@esa.org to request a refund. This process can take 2-3 weeks.
